CLEAR ANSWERS BEFORE YOU TAKE THE NEXT STEP

Before You Analyze Your Clinic. You Deserve Clear Answers.

The Clinic Revenue Leak Analysis examines the publicly visible systems that may affect how prospective patients discover, trust, contact, and choose your clinic.

Here’s exactly what we analyze, what we don’t, what information we need, and what happens after your report is prepared.

About the Clinic Leak Analysis

It is a review of the publicly observable factors that may influence whether prospective patients can find, trust, contact, and choose your clinic. Depending on what is publicly available, the analysis may examine your website, local search presence, Google Business Profile, online listings, reviews, response activity, website performance, accessibility, tracking technology, contact options, and nearby competitors. You'll receive a personalized report identifying the most important visible gaps and the areas that deserve closer attention.

Yes. The initial Clinic Revenue Leak Analysis and the 20-minute Personalized Findings Review are complimentary. There is no obligation to purchase an Automate365 system after the review.

No. The initial analysis is based primarily on publicly observable business and marketing information. It does not require protected health information or patient records. If you later decide to implement a system that interacts with sensitive information, access, security, vendor agreements, and applicable privacy requirements would be addressed before implementation.

Our goal is to prepare your analysis within approximately 48 hours after receiving the required business information and confirming your Findings Review. The timing may vary if the clinic has multiple locations or an unusually complex online presence.

No — and we should be transparent about that. The initial Analyzer identifies externally observable gaps. It cannot see your actual missed calls, response times, unbooked inquiries, no-shows, cancellations, appointment values, or internal conversion rates. During the Findings Review, we can combine the report with the operational numbers you provide to model a reasonable opportunity range. Any financial estimate will be explained as an estimate, not a guarantee.

About the Personalized Findings Review

The report identifies what is visible from outside your clinic. The Findings Review helps determine what those findings mean inside your business. During the review, we will explain the most important findings, separate meaningful gaps from minor technical issues, ask a few operational questions, connect visible problems to your actual patient journey, prioritize what should be addressed first, and determine whether an Automate365 solution is appropriate. The report provides the evidence. The review provides the context.

It is primarily a diagnostic conversation. If the analysis reveals a meaningful problem and Automate365 appears capable of helping, we can discuss possible next steps. If there is not a strong fit, we will tell you that. There is no obligation to move forward.

The clinic owner, practice administrator, office manager, or person responsible for growth and patient-conversion systems should attend. Having the appropriate decision-maker present allows us to validate the findings and identify the most practical next step.

You do not need to prepare a formal report. Approximate answers to the following may help: monthly new-patient inquiries, typical response process, approximate booking rate, missed-call or after-hours handling, no-show or cancellation concerns, average value of a new patient or consultation. These numbers are used to add context. They are not required to request the initial analysis.

About Automate365 AI Systems

No. The system is designed to support your team. It can help manage repetitive or time-sensitive administrative interactions, including after-hours inquiries, missed-call follow-up, appointment requests, reminders, and common nonclinical questions. Your team remains responsible for situations requiring human judgment, clinical knowledge, sensitivity, or personal attention.

The system is configured around clinic-approved administrative information and workflows. It may be used for tasks such as responding to common administrative questions, collecting basic inquiry information, routing requests, supporting appointment scheduling, sending reminders and follow-up messages, and escalating conversations to a team member. It should not diagnose conditions, recommend treatments, or replace a qualified healthcare professional.

That depends on the systems your clinic uses and the required workflow. Some platforms support direct integration. Others may require an approved connector, middleware, or a modified process. Compatibility should be confirmed before any implementation promise is made.

Implementation time depends on the clinic, the selected workflows, integrations, approvals, testing requirements, and number of locations. A realistic implementation timeline will be provided only after the Findings Review and technical assessment.

About Results, Pricing,and Next Steps

Results depend on your current inquiry volume, operational processes, response behavior, team adoption, offer, market, and starting performance. Automate365 should establish a baseline, identify the metric being improved, and measure performance after implementation. No specific revenue or appointment result should be guaranteed. Verified case studies can be added when the supporting data is available.

The Clinic Revenue Leak Analysis and Findings Review are complimentary. Implementation is priced separately based on the workflows, integrations, locations, usage requirements, and complexity of the system your clinic needs. If a solution is recommended, you will receive a clear proposal before making a decision.

We will tell you. You will still receive the findings, but we will not recommend implementing a system simply to create a project.
